Overview

As our Payroll Specialist, you will be responsible for coordination of team payroll processing functions to ensure accuracy, documentation, and compliance.  Ensures that the data entry of payroll and HR related information into the payroll/HRIS and time/attendance systems is timely, accurate and complete. Responsible for transmitting payroll records to UKG in accordance with regular pay periods. Works with Payroll manager on quarterly tax auditing and reconciliation including auditing for individuals receiving multiple W-2’s, balancing UKG tax balances to internal records, etc. Researches and resolves payroll issues, looking beyond the immediate problem to identify broader implications. Makes recommendations on problem resolution, as well as process improvements. Ensures compliance with state and federal laws.

Role requires in-person work in Omaha, NE for 30 hours per week for about 10 weeks.

Detailed Description

Principal Duties and Responsibilities

 

Essential Functions

  1. Coordinates entry of payroll and HR changes in into the payroll/HRIS system and audits for accuracy
  2. Enters adjustments into the time/attendance system for hourly personnel
  3. Ensures data integrity and performs corrections to history as needed
  4. Provides exemplary customer service to employees and managers in regards to any and all payroll issues
  5. Researches issues for the Finance department in relation to payroll including GL files for each pay period, troubleshooting of charges and payroll taxes
  6. Processes employee garnishments according to state laws in the payroll/HRIS system.  Reconciles garnishment totals and requests checks for payment
  7. Coordination of all payroll processes done by the team
  8. Reconciles the payroll and researches and resolves payroll issues to ensure individual and company reporting of wages and taxes are accurate
  9. Troubleshoots issues to resolve prior to quarter end
  10. Ensures compliance with all Federal and State laws and regulations pertaining to Payroll processing
  11. Manages the daily functions for Payroll by coordinating work flow, auditing and documenting processes, identifying issues and reporting them to Payroll Director, and making recommendations for process changes to improve efficiency or adjust for compliance
  12. Ensures procedures are in place to add and process payroll for the great volume of hiring done during the year
  13. Analyze processes to eliminate low value work through process improvements, technology enhancements/changes and outsourcing possibilities
  14. Coordinates monthly and quarterly tasks in conjunction with the finance department such as unclaimed wages reporting and relocation reporting
  15. Completes manual check requests and processes stop payments and voids according to procedure
  16. Ensures reversals to direct deposits are received by the company, voids are deducted and manual checks are added to the individual’s YTD earnings
  17. Reviews new hires and terminations to make sure salary adjustments have been made when needed
  18. Reviews all severance agreements and exempt terminations noting contingencies that need to be address upon termination
  19. Performs and/or QC’s various imports/exports from the payroll/HRIS and other systems
  20. Audits transferred data
  21. Maintains regular and predictable attendance
  22. Abides by all policies and procedures of Oriental Trading Company
  23. Must be able to attend face to face meetings on short or little advance notice
  24. Work requires in-person collaboration among colleagues and contractors

 

Marginal Functions

  1. Document scanning and filing/organizing documents as required
  2. Performs other duties and projects as assigned
  3. Identifies potential payroll issues and reports information to manager

 

Knowledge, Skills, and Abilities

  • Proficient working knowledge of PC applications to include Microsoft Excel, Word, and Access as well as a desire and aptitude to learn various computer systems and applications
  • Detail oriented and possess strong problem solving and analytical skills 
  • Ability to multi-task and adjust to shifting priorities and interruptions
  • Strong oral communication and customer service skills
  • Ability to handle and safeguard confidential information on a daily basis
  • Ability to perform job duties in a safe manner

 

Education

  • Bachelor’s degree or equivalent experience is preferred

 

Experience

  • Requires 5+ years experience in payroll processing and using Microsoft Excel
  • Previous experience with UKG payroll software preferred
